Written for a school's staff learning how Kestrel works, the trainers who teach them, and the families using the portal.

Catalogue the items the school lends, their barcoded copies, prices, condition, storage and maintenance.

What it is for

Hire is the catalogue of the school's lending stock. An item is a title or kind of equipment, such as a textbook; a copy is one physical thing with its own barcode, condition and storage location. The Hire role keeps the catalogue. An administrator keeps the notice rule.

The current Hire screens catalogue and maintain copies. They do not issue or renew loans, accept borrowing requests or send overdue notices. The existing Instruments screen under Activities still handles instrument loans and returns.

Save the first-notice delay, repeat interval and maximum notices. This stores the rule; it does not send notices.

Keep the catalogue

A barcode belongs to one copy across the school, including retired copies. Case and surrounding spaces do not make it a different barcode. A location is the shelf or store where the school keeps stock, not a person's whereabouts.

Record upkeep and protect discreet stock

Open the item and choose Record a service beside a copy. Record the day, what was done and its cost. The Maintenance section keeps the history. A copy can have a service interval, and retirement keeps its earlier entries. The catalogue counts copies in service and retired; it does not promise that a copy is available to borrow.

A discreet kind and its items and copies are visible only to a reader with hire.discreet.write. No starting role has that permission. Ask an administrator to grant it deliberately where the school needs a confidential equipment catalogue.

Training notes

Allow fifteen minutes. On a test school, add an item with two copies, record a service on one, retire the other and offer it again. Check the barcodes and history remain.
