What it is for

Facilities records the school's assets under the tag attached to each one. The Facilities role adds and changes asset details and records inspections, services and retirements. An administrator maintains asset categories. The register keeps operational history; asset values and depreciation remain in the finance system.

Keep the asset and its history

A tag is unique across the school without regard to letter case. Record make, model, serial number, acquisition day and warranty end where known. An event has its own day and note; name no student in that note. A wrong event is voided with a reason rather than edited. Voiding a retirement restores the asset to service while preserving the history.

Categories and the scope of the register

Add categories in Facilities settings before classifying assets. A retired category stays on existing assets. The current Facilities screens provide the asset register and event history; they do not offer a maintenance-request queue or public facility-hire bookings. Book rooms and shared resources from Timetable.

Training notes

Allow fifteen minutes. On a test school, add an asset, record a service, retire it and void that retirement with a reason. Confirm both the history and its current state.
